Accountable to: Scientific Services Director for scientific content strategy of hemato-oncology therapy area

Main purpose of job:
Manage the Medical Writing Team to ensure the efficient and effective delivery of quality services to clients as per agreed contracts.

Responsibilities:
1. Functional
 Perform project orientated tasks according to the brief provided by the client and as discussed with the Deputy Managing Director to the specifications and deadlines agreed with the client/Deputy Managing Director
 Manage the writing team in terms of resource availability and requirements, briefing, job allocation, job progress and job quality, keeping the Deputy Managing Director informed as to the progress of projects in respect of the agreed timelines and targets
 Liaise with clients to obtain project briefs and timelines, or if this is not possible, to liaise with other members of the Client Services team to derive clearer project briefs. Maintain contact with clients to keep them informed of project progress and to track project scope
 Liaise with the Client Services team to develop and implement timelines and ensure the quality and feasibility of commitments made to clients
 Where appropriate to project requirements, fulfil the roles of the Medical Writer and Medical Editor
 In conjunction with the Deputy Managing Director, develop existing accounts and new business opportunities to provide additional medical communications business on behalf of PHASE II International and SES by:
o Contributing to new business pitches/account development
o Contributing to strategic scientific communications planning
o Providing strategic/scientific review of materials.

2. Managerial
 Assist in setting contract and team budgets
 Line manage the editorial team, lead editorial team meetings, drive the review and appraisal process and update team structure as necessary. Support the editorial team in their professional development
 Assume role of Managing Editor for the Scientific Education Support hubs, being responsible for and overseeing the editorial and scientific quality of content (in liaison with Scientific Services Director) and be the editorial lead in strategic content development and strategic planning in relation to marketing and commercial initiatives
 Keep the Management Team informed of possible future resource shortfalls and changes to the business and/or operational environment that will need to be addressed, thus ensuring the continued efficient delivery of services to clients
 Liaise with approved external contractors providing briefs and ensuring that work that is returned conforms to the original brief

 Liaise with the Management Team to resolve resourcing problems and any conflicts with schedules that may arise. These should be identified as soon as possible and outsourcing strategy agreed before initiation
 Coach senior writers and oversee their coaching of junior writers and trainees within the group on both writing and scientific/strategic aspects of projects, and act as a reviewer on such projects, ensuring that the writing aspects of all projects are completed on time, to the clients’ brief and within budget
 Manage contact with Client Services team to ensure preparation of requested documents and enable cross-functional teamwork, as required.

3. Organisational
 Take an active part within the Management Team by helping manage and develop client relationships and deliver operational efficiency, financial control and business planning across the organisation
 Manage contact with Client Services team to exchange information on future jobs, workflow and budget utilisation and to provide details of job allocation and invoicing milestones achieved
 Creative and strategic input in internal meetings, working with the Management Team to streamline internal processes
 Develop and maintain PHASE II procedures manuals, processes and guidelines as appropriate
 Take shared responsibility for maintaining the positive morale of all PHASE II staff
 Serve existing clients and aid in the identification of potential new work or business opportunities
 Take responsibility for the management of new customers; aid with the identification of their business needs and communications requirements
 Generate new business concepts and convert concepts into leads in conjunction with the PHASE II team
 Ensure that PHASE II operates adequate standard operating procedures, policies and guidelines to deliver services that adhere to all relevant regulations and requirements
 Promote adherence to Company operating procedures, employee handbook and PHASE II Company values.
