Position summary

The main role of an Assistant Account Executive (AAE) is to co-ordinate logistics, liaise with suppliers and work on internal administration. An AAE needs to be organised, accurate and efficient, but most importantly, they must be enthusiastic, willing to learn and be a strong team player. The AAE must be ready to support all colleagues in any tasks that are required, as a result building and learning to maintain professional relationships is key. AAEs need to be aware of the ABPI Code of Practice, and operate within this.

Key responsibilities

Client service and satisfaction
• Limited client-facing responsibilities, but must produce client work to a very high standard.

Commercial and financial management
• Negotiate and liaise with suppliers on behalf of 90TEN and our clients
• Numerate and mindful of financials/budgets
• Process supplier invoices and update cost trackers as necessary
• Complete timesheets in a punctual and accurate manner.

Teamwork and team leadership
• Should be a team player
• Should be able to work independently, but provide regular and accurate updates to account leads.

Business Development
• Undertake research for new business pitches, on the therapeutic area and a particular product
• Support the team to source designers, images, videos etc.

Administration and reporting
• Monitor media and provide daily report to clients
• Update client status reports
• Book meeting rooms
• Set up meetings from providing diary invitation with telephone dial-in details, to setting up the room with refreshments, pens, pads, etc, booking catering, ensuring all client ‘print-outs’ are provided
• Take notes in meetings, preparing action reports and circulate to clients and internal teams
• Maintain and update activity trackers and timelines for their accounts
• Format and layout all documents (internal/external) according to the 90TEN style
• Save and organise documents on 90TEN server in a logical and understandable system
• Co-ordinate expense claim forms and evaluation forms in a timely fashion
• Ensure deadlines for tasks are provided, be flexible and confident with time management in order to prioritise work
• To provide administrative support to the Directors and company (including ad hoc admin for the effective running of the business).

Skills and experience required

• Good organisation skills
• Excellent attention to detail
• Accurate spelling and good grammar
• Able to accurately follow instructions
• Good communication skills (written, presenting, verbal)
• Confident phone manner
• Science or PR background (or both).
